Cancellation & Refund Policies

Is the application fee refundable?

When you apply, there's a non-refundable application fee of $65. If you aren't accepted to the program, you'll receive a full refund for the $65 application fee.

Is the confirmation deposit refundable?

Once you're accepted to an ASA program, a non-refundable Confirmation Deposit is due within 1 week to secure your space. The Confirmation Deposit is $500 for all programs EXCEPT:

 

  • University of the Arts London & London College of Fashion: $1,000
  • Aix-en-Provence, France: $1,000
  • Sorrento, Italy: $1,000
  • Griffith College Dublin: $1,000
  • January Term Traveling Seminars: $1,500
  • UK programs for which a Tier 4 visa is required: $5,000

If I need to withdraw from the program, how do I go about that?

Withdrawal/cancellation must be submitted in writing via email by the student/participant to hello@academicstudies.com as soon as you are aware of your need to withdraw/cancel. After sending your email, you must then follow up by phoning ASA at 617-327-9388 to ensure we received your cancellation. Please be aware that arrangements may have already been made on your behalf, and you may still be financially responsible for those arrangements even though you are withdrawing. ASA will notify your home institution of your withdrawal.

Should I insure my program costs?

Yes, you should insure your program costs against losses, in case you need to withdraw from the program after fees are non-refundable. As shown in our Cancellation Policies linked above on this page, program fees become non-refundable before the program starts. ASA is not responsible for losses should you not attend the program for any reason after unrecoverable program costs apply.

Additional refund terms
  • If the student has deferred payment, is on a payment plan, or if payment/billing arrangements are made through their home institution, the student is still responsible for paying in full all cancellation fees and monies owed to ASA.
  • ASA program fees and refunds are not transferable or applicable to other students, participants, or persons.
  • Refunds are calculated less any outstanding balances due to ASA.
  • Refunds are issued/applied only for payment amounts received by ASA as of the withdrawal/cancellation date.
  • Refunds are issued to the party that originally made the payment, whether this was the student, the home institution, a parent/guardian, or someone else.
  • Refunds are not given to students who leave the program early or who are dismissed/expelled from the ASA program for misconduct or violation of ASA policies. Refunds are not given for lost program privileges due to misconduct or violation of ASA policies.
  • Deferral of payment, payment plan, late payment, withdrawal, cancellation, termination of participation, dismissal, or loss of program privileges do not diminish or otherwise affect a student’s obligation to pay in full all amounts due to ASA.
  • Fees paid to ASA for Group Visa Service, as well as any other visa costs or visa-related costs incurred by the student, are not refundable.
  • At certain host institutions, courses carry additional Course Fees to cover materials or academic field trips. Course Fees are not included with your ASA Program fee. Course Fees are non-refundable.
