ASA Billing Terms and Conditions
TERMS
- ASA and Northeastern University have a direct billing agreement. This means that ASA will invoice you (the student) for confirmation deposit, housing, and medical insurance ONLY. Your tuition and fees will be billed directly to Northeastern University. Therefore, Northeastern University will send you a separate bill for your study abroad tuition and fees.
- We recommend you submit the mandatory confirmation deposit ASAP to reserve your space. Spaces are given first come, first served basis, based on receipt of payment. The confirmation deposit cannot be deferred with financial aid.
- Full payment for your housing and medical insurance OR verification of financial aid is due by the published deadline.
- ASA billing statements will be sent to you, the program participant, as well as the billing invoice contact outlined on the students ASA embark application. If a third party is going to pay this bill (e.g. your parents), it is your responsibility to forward this billing statement to them.
- At certain host institutions, courses carry additional Course Fees to cover materials or academic field trips. Course Fees are not included with your ASA Program fee. Course Fees are non-refundable.

Don’t forget to have your school’s financial aid office complete our “Financial Aid Verification (FAV) form” by our payment deadline – you can download this form at the above link.

Please be aware that your current financial aid package at Northeastern may not cover your ASA bill. Northeastern students who want to defer payment using financial aid must typically apply for an additional loan through the Northeastern University financial aid office.
CANCELLATION AND REFUND POLICIES
- You are subject to the following Cancellation and Refund Policies. CLICK HERE to view.
- If payment has been received before withdrawal, ASA will issue a refund minus penalties, unrecoverable expenses, and cancellation fees.
- You are responsible to pay in full all amounts due to ASA (including all penalties, unrecoverable expenses, and cancellation fees) even if you have deferred payment, you are on a payment plan, you are late paying, or miss a payment(s).
- Deferral of payment, payment plan, late payment, withdrawal, cancellation, termination of participation, dismissal, or loss of program privileges do not diminish or otherwise affect a student’s obligation to pay in full all amounts due to ASA.
- Visa costs or visa related costs incurred by the student are not refundable.
- ASA program fees are not transferrable or applicable to other students, participants, or persons.
- A change in the program start date may change the refund schedule. Changes in program dates are beyond ASA’s control. ASA will notify you via email if there is a change in your program dates.
- Refunds are not given to students who leave the program early or who are dismissed/expelled from the ASA program for misconduct or violation of ASA policies. Refunds are not given for lost program privileges due to misconduct or violation of ASA policies.

SINGLE ROOM SUPPLEMENT TERMS - Applies to students going to Barcelona ONLY
- If you have requested a single room, which carries an additional fee, this fee has been added to your balance due.
- There is a very limited number of single rooms available, this we can NOT guarantee you a single room. We will do our very best to accommodate the request.
- Single rooms will be allocated in order of payment received for the single room supplement fee. To have the best possible chance of getting a single, you are advised to submit your single room supplement fee as soon as possible. If you are allocated a single room, the supplement fee is non-refundable and non-transferrable.
- If you are not allocated a single room, ASA will refund you the single room supplement fee.
ASA SCHOLARSHIPS, GRANTS, AND OTHER DISCOUNTS
- ASA scholarships, grants and any other discounts or credits are only applicable if you attend the program, are non-transferable, and cannot be applied toward penalties owed to ASA. ASA scholarships, grants, and other discounts or credits can only be applied to ASA program fees and after mandatory confirmation deposit has been paid. They cannot be applied to confirmation deposits, lab/course fees, or any other program related expenses.

- ASA and UMD have a direct billing agreement. This means that your ASA program fees will be billed directly to UMD. Therefore, UMD will send you a bill for your study abroad program fees.
- ASA billing statements will be sent to you, the program participant, as well as the billing invoice contact outlined on the students ASA embark application. If a third party is going to pay this bill (e.g. your parents), it is your responsibility to forward this billing statement to them.
- At certain host institutions, courses carry additional Course Fees to cover materials or academic field trips. Course Fees are not included with your ASA Program fee. Course Fees are non-refundable.

ASA SCHOLARSHIPS, GRANTS, AND OTHER DISCOUNTS
- ASA scholarships, grants and any other discounts or credits are only applicable if you attend the program, are non-transferable, and cannot be applied toward penalties owed to ASA. ASA scholarships, grants, and other discounts or credits can only be applied to ASA program fees and after mandatory confirmation deposit has been paid. They cannot be applied to confirmation deposits, lab/course fees, or any other program related expenses.

We recommend you submit the mandatory confirmation deposit ASAP to reserve your space. Spaces are given on a first come, first served basis, based on receipt of payment. The confirmation deposit cannot be deferred with financial aid.

Full payment for the remainder of your ASA program fees OR verification of financial aid is due by the published deadline.

If your ASA program fees are partially covered by financial aid, the portion not covered by financial aid must be paid by the published deadline. For information on how to apply your financial aid to your ASA program fees, see section below titled “Financial Aid Information.”

ASA Billing Statements will be sent to you, the program participant, as well as the billing invoice contact outlined on the students ASA Embark Application. If a third party is going to pay this bill (e.g. your parents), it is your responsibility to forward this billing statement to them.

At certain host institutions, courses carry additional Course Fees to cover materials or academic field trips. Course Fees are not included with your ASA Program fee. Course Fees are non-refundable.

Don’t forget to have your school’s financial aid office complete our “Financial Aid Verification (FAV) form” by our payment deadline – you can download this form at the above link.

CANCELLATION AND REFUND POLICIES

You are subject to the following cancellation and refund policies. CLICK HERE to view.

If payment has been received before withdrawal, ASA will issue a refund minus penalties, unrecoverable expenses, and cancellation fees.

You are responsible to pay in full all amounts due to ASA (including all penalties, unrecoverable expenses, and cancellation fees) even if you have deferred payment, you are on a payment plan, you are late paying, or miss a payment(s).

Deferral of payment, payment plan, late payment, withdrawal, cancellation, termination of participation, dismissal, or loss of program privileges do not diminish or otherwise affect a student’s obligation to pay in full all amounts due to ASA.

Visa costs or visa related costs incurred by the student are not refundable.

ASA program fees are not transferrable or applicable to other students, participants, or persons.

A change in the program start date may change the refund schedule. Changes in program dates are beyond ASA’s control. ASA will notify you via email if there is a change in your program dates.

Refunds are not given to students who leave the program early or who are dismissed/expelled from the ASA program for misconduct or violation of ASA policies. Refunds are not given for lost program privileges due to misconduct or violation of ASA policies.

SINGLE (OR DELUXE) ROOM SUPPLEMENT TERMS - Applies to the following programs: Barcelona (all schools), Florence, Rome, Sorrento, Maastricht, and University of Roehampton.

If you have requested a single room, which carries an additional fee, this fee has been added to your balance due.

There is a very limited number of single rooms available, this we can NOT guarantee you a single room. We will do our very best to accommodate the request.

Single rooms will be allocated in order of payment received for the single room supplement fee. To have the best possible chance of getting a single, you are advised to submit your single room supplement fee as soon as possible. If you are allocated a single room, the supplement fee is non-refundable and non-transferrable.

If you are not allocated a single room, ASA will refund you the single room supplement fee.
